We just upgraded from MAS 6.3 to 7.2.

Upon doing so, the Senior Accountant noticed a new query in GL "Account History". After studying this query, he found that the beginning and subsequently ending balances are not matching what he has on paper.  You get to this query by going to:

General Ledger / Insights / Explore / Account History

We sat down and he showed me an example.  But if he runs the GL report again, it matches the original GL report he ran back when the particular period was closed.

At this point it appears to me that there is a bug in the GL Account History query.   Also, where is Account History pulling this data from? Why would the GL paper report not match what is in Account History?   Is there a way to run a "recalc" on the balances?

The Account History data is in tglAcctHist (and if your using Multicurrecy tglAcctHistCurr).  There is a front-end recalc under GL - Activities - GL Utilities - GL Recalculate History.  Make sure the 'From Fiscal Year' is one year prior to the year with incorrect balances, so that it recalculates the beginning balances on the incorrect year.

Well I ran the recalc for the fiscal years 1999 - 2009.  But no change.

I noticed the balances begin to go wrong between the periods 1998-1 and 1999-1.

For this particular account, there is a 1998-1 line, but no 1998-2, -3, ect.  It skips right to 1999-1.  And on 1999-1, this is where it begins to not match the GL Trial Balance.

So I tried to run a recalc for the fiscal years 1998 - 2009, but it errors out indictating:

"You cannot recalculate from the entered fiscal year because it has been purged."

If that is so, then perhaps this is the reason the beginning balances (and subsequently balances) all seem to be wrong beginning with period 1999-1 and moving forward.

Does anyone concur?  And if so, then how to correct these beginning and ending balances?  It is almost like the correct beginning balance needs to be typed in somewhere for 1999-1, then the recalc should be run for 1999 to present.

I would suggest contacting customer support if the recalc is not handling it.

Contact your reseller and have them open a case for you using their account in order to get this resolved.

It seems to me Accounting is missing a bunch of GL History.  1998-2 through 1998-12.

Yes--This is a MAS500 V7.2 bug. At last check Sage is aware of the issue, has been able to provide a fix, but has not yet identified the cause (that was about a month ago). The problem occurs when an incorreect beginning balance is placed in a record in the table tglAcctHist. Sage has a script to find the incorrect records; afterwards we just recalc history and everything lines up. Maybe they will share it with you since it is a known problem.

Chas is correct, there is a data fix for this issue. The datafix resolves 95% of the related issues.

In addition, there is a code fix in the Feb 2010 PU for 7.20 / 7.30 to prevent the 95% from happening in the future.

*Problem: G/L Trail Balance is out of balance because some accounts display incorrect beginning balances.
