Aatrix (since you are listening) I just downloaded the latest e-file updates so we could do 941's and the payroll tax liability (LINE 17) is calculating incorrectly. It is only putting in the employee liability and not including the employer liability. Here I am trying to convince the other people in the department to try this reporting system and it doesn't work correctly. (I know we can override, but really doesn't seem like we should have to - and reduces confidence in the software as a whole)

Hello Everyone,

Just finishing up our quarterly reports and noticed we have not had any postings lately.

 

I have not had a chance to call Erica from Sage but have it on my calendar to call her.  I also have not heard anything from Aatrix regarding pricing that they will propose to accounting firms and payroll service providers. Also do not have any idea whom to contact.  Everyone, this is not just a problem for Oregon payroll service providers this affects all states that have mandatory efiling.

I am getting alot of presure here from the partners of our firm regarding a decision on the W2's and future efiling of all quarterly reports which is what our goal is for next year.  They have approved for me to purchase Payroll CS but I am holding out until we receive some pricing information from Aatrix, possibly if the pricing is reasonable I would suggest to the partners to stay on our current software.  At this point it all will hinge on Aatrix.   Any other thoughts?

Hi Everyone,

Aatrix is working on a Large Filer project which will allow Accountants who file for more than 10 EINs to get special minimum pricing. The Large Filer program cost is $99 and includes:

• Lowering of Minimum Per filing price by 40% from $24.95 to $14.95

• A $99 Unlimited eFile Package or credit towards larger eFile packages.  This is for the Large Filer's own use to file their own 941s, 940s, EFTPS, State Payments, SUTA, State Wage Reports, New Hire reports.

• A special Web Page for viewing their filings, statuses and commands to UnHold filings

• Much shorter, quicker W2/1099 filing process which saves the Large Filer data and eliminates most eFile screens

Sign up will be available the first time you eFile W2s or 1099s by answering YES that you will be filing for more than 10 EINs

 

It will be deployed in mid to late December and will allow filers to:

1) Choose a date they want their Employee Copies Mailed

2) Choose a date they want the State Copies and Reconciliation filed

3) Choose a date they want their Fed Copies and Reconciliation filed.

OR

4) Choose to have all filings held until the user authorizes them to be filed

OR

5) A combination with some filings on Hold and some with Chosen filing dates.

 

The Aatrix Process includes:

• FREE Corrections to W2s and 1099s up until the filing or employee mailing dates.  Users are recommended to select later   filing dates to avoid the W2C and 1099C process.

• Over 50 error checks to reduce the normal 10% error rate and ensure 99.5% accuracy of filings

• Easy editing/addition of items like Third Party sick pay

• HUGE time/money savings by auto-completion of State Reconciliation forms, the required double filing to many states and Certified Mailing time/costs.

• Much, Much more

 

For $1.79 per employee the Complete Filing includes:

Print/Mail Employee Copies

File State Copies AND RECONCILIATION Form

File Fed Copies/W3

Post W2s online when employee enters SS and Password

 

For $.99 per employee

All of the above except the Print/Mailing of Employee Copies

 

For $.69 per employee

File State Copies Only

 

For $.49 per employee

File Federal Copies Only

The 941 form is calculating all values correctly.  The issue is with the data being passed to the form.

So who fixes this? The data fills in correctly on the MAS90 generated Quarterly 941 Printing, so it is something in the Federal e-filing module and how it connects with Aatrix.

Check the knowledge base, I think there is a patch to fix this issue.

Update: Just found out from Oregon iWire team that the txt file produced by MAS90 does not format the BIN correctly (right-justified will 0's to fill 20 spaces) and so will not be accepted this year. The files are producing the same data in the same format as last year when we were able to get them all filed once we manually added the state total line. Apparently some files got accepted last year that should not have. Apparently those produced by MAS90 are some of those. She also stated that they have had rejects from Aatrix. We are requesting a waiver because we have no time to put another system in place at this date - we'll see how that goes.

Aatrix did get a few rejections last year, but they were mainly due to invalid BINs.  Aatrix uses specially developed tools that allow us to quickly adjust to a changed state format.  We constantly monitor agency requirements, however, sometimes state agencies add a requirement or change a format without letting us know.  Many state agencies do not have test sites, so Aatrix will send a file as soon as we get the first actual filing from a user.  Then we watch for a rejection code, find out the issue, adjust the file format and refile.  In many cases, the Aatrix eFile Center can take the original customer filing data, make adjustments and resend without bothering the end user.  In some cases, we have to send out a patch immediately, especially if there is a missing data element thats been added by a state agency and ask the user to refile.  Every file is monitored to ensure its been accepted by the agency.  It a big job to ensure that all 150 agencies receive their data in the proper format and manner, but thats our job and Aatrix has spent millions on technology to ensure its done right.  We are not perfect, but its our goal.  Our year-end survey consistantly indicates a 93% RECOMMEND rate so there is always room for improvements.
