Hi Everyone, Its that time of year when W2s must be filed so I started this topic to answer your questions about the Aatrix W2 process included in MAS 90/200. Multiple Company filers with over 10 companies, please note the information in the W2 eFiling blog or email RyanH@aatrix.com to receive the multi-company instructions and pricing.
Overview: The Aatrix process allows you to print or eFile your W2s and allows for virtually ever possible W2 scenario or filer type. It includes over 50 error checks to ensure accurate W2 filing. The eFile process allows you to choose your filing dates and has options for Complete W2 filing including Print/Mailing Employee Copies, Fed filing, State filing with Reconciliation form as well as online employee W2 hosting. Fed Only, State Only and many Localities are available. The Printing process will print all W2/W3 copies on plain paper (perforated plain paper for employee copies and state copies) as detailed in the Federal specs.

How about posting some links as to where you can buy the perforated plain paper for the w-2's? I have checked in past years and have found this paper difficult to locate or very expensive.

Sage Checks and Forms stocks the 4 up blank perforated paper. It is 8.5X11 with one vertical and one horizantal perforation. It can be purchased with or without envelopes. Just be sure to order the style with printed instructions on the back for your employee copies so that you comply with Fed regulations.
State copies should also be printed on perforated paper without instructions so that you can separate each employee. State and Employer copies are printed with 4 separate employees on a page, but they must be separated before mailing to the State. User should be aware that many states now require even very small employers to electronically file their W2s. Would you like me to get a list of the required states/thresholds?
Fed copies can be printed on plain paper.
Surveys have determined the cost of materials, postage and labor for printing, folding, mailing/filing the various copies is around $3 for each W2. The Complete W2 option does it all for $1.79 each.

I responded on the other thread.
Yes, your Oregon filings will be properly filed and accepted. With the Aatrix process, even if an agency does not tell us of a changed requirement such as padding a field with extra 000s, we can simply add the padding to the file and send or resend a rejected file. This is the advantage of a 'Single-Point eFile Center'. We don't just send your file and forget it, there are staff and systems monitoring your filing. In the case of a rejection, Aatrix staff make the adjustments and refile. If the Aatrix eFile Center staff can't make the adjustments and need missing data or something corrected, we let you know. If you use the Complete W2 or 1099 process, Aatrix sends out the employee copies, files your state&fed and monitors it all, giving you peace of mind.

We used the e-filing feature to print W2's and have printed them to regular white paper. We need to order envelopes. Anyone know where you can purchase 4 up envelopes that fit the address windows on the W2? I have found 4 up W2 envelopes but the window for the address does not appear properly in the window.

Federal regulations require that employee W2s are printing on paper that is easily separated by the employee and must include the instructions. You will need to order perforated, preprinted paper from Sage Forms or use the Aatrix Complete W2 option (the Aatrix eFile Center prints and mails the employee copies and files the Fed + State.
Some companies have attempted to print their state copies, 4 to a page, on plain paper and mail them to the state. This is also not allowed as each employee copy must be separate when filing to the state.

I am trying to generate a W2 Electronic report for a client in MAS90 version 4.4 and it doesn’t appear to pick up certain fields, such as Wages & Tips or Federal Income Tax Withheld or Pension Plan (401k). It does pick up Social Security Wages, SS Tax withheld, Medicare Wages & Tips, and Medicare Tax Withheld. Just curious whether you have received the same results.
As we are on Guam we have to file with the Guam Department of Revenue & Taxation by February 28th (rather than March with the IRS) so the client is running out of time. Any insight on your part would be helpful. Unfortunately Sage support is closed so I cannot contact them.

My Federal report from the Electronic Filing module (not the eFiling step since I am filing my own file) works fine. I don't see options for Guam under states though, so I don't know how you deal with that one.
