Allowing Back Orders in Maintain Inventory

We have an issue where an item was not put on backorder when there was zero QOH. The help files state "

In Maintain Inventory, you select an existing warehouse and an existing item. Then you can enter or modify the default values as needed for stock management information, including:

· Standard unit cost information

· Whether back orders are allowed

I do not see a check box for the back order option for this item or any other item for that matter? Is there a setup function that would disable this standard option?

Back Orders are allowed when you own Warehouse Management. When the order is entered and there is not quantity on hand the warehouse manager should be evoked and you can select to back order the sales order line item.

I don't see a folder called Warehouse MAnagement, but I can put many other items in a S/O with one more than we have in stock and another window opens ("Out of Stock") that includes many options (Back Order, Use Available, Alternatives, Delete & Cancel).

Is that what you mean?

Yes, that is what I mean. Warehouse Management is inside Inventory Management; and it sound like you have it. Hmmm, if you have a support agreement I would recommend you call Sage Support and they can dial in and take a look.

 

I will say that if the order was placed when you had quantity available, it would not be placed on back order. If the quantity is reduced to zero on hand and the order is still open and not picked or shipped it will still not update the quantity on back order in the table. Perhaps that is what you are seeing?

 

Another thing to check are your options in Inventory Options for Quantity Available. That is what can determine if an item is put on back order (you will always get the screen for you to select back order it will not do it automatically). If you have quantiy available because you are considering quantiy on purchase order (not recieved yet) that could cause a problem.

The odd thing is that I can go into the original S/O, add an additional line with the same p/n, attempt to save and that line does not trigger the Back Order popup (??) either.

I have discovered that Qty Available DOES include what's on PO. This has not been an issue in the past as we have a very high fill rate,but this item involves a third party kitter. So what we need to do, I think, is for this handful of if items, if we do a stock status, and we don't have any on the shelf, how can I force a back order? Im my MAS 200 days, I would zero out the qty and it would BO automatically. Is there a way to perform this same function in MAS 500??

Like Mari mentioned, you can change how Quantity Available is calculated by going to "Set Up IM Options".  There are 5 (I think) checkboxes that you can include or exclude.  I believe Purchase Orders is one of them.
