Using VI to remove A/R memo resets dates for ALL memos?

One of my staff just reported that using VI to remove specific A/R memos resets the creation date for ALL memos for that client.

 

Is this a "feature," are we doing something wrong or have we uncovered a new  issue here?

Hi BL!

Dunno yet. I  have a couple of staff who want to come, Maybe this old guy doesn't get to go this year.

 

We figgured out why it was resetting the date. The VI soultion to removing memos was to reinitialize the whole memo file and import only the ones we wanted left in place.

 

a) Export all the A/R customer memos
b) Delete the rows we don't want (i.e., with memo code DNC)
c) Re-initialize the A/R customer memo file
d) Import the remaining memos that we didn't delete.
        There are approx. 4 fields it won't let us write to when we re-import:
 * Date created
 * I can't remember the others. Perhaps who created the memo, time created, and one other thing.

Is there a better way?

This is a problem with most imports, as those fields are read only. Wonder if we can edit providex.dde (or similar file) to disable the read only flag on those fields?

Not sure this would work but if you modified export to only export records you intend to delete could you then add a perform after write to the export to delete the exported records.  This way you don't have to initialize the table or import back the records you wish to keep.

Instead of re-initalizing and re-importing everything, why not just import an expiration date for the demos you want to remove then use the built-in feature in A/R to purge expired memos?

Thanks once again, Dawn.

 

My staff was elated to hear your suggestion. They tested it in a dummy copy and started poking around other options to get rid of memo called "DNC". This is what they said:

OMG - Bill just found the option in there to Purge a selected memo code.
Tried it. It worked fine in the dummy company. (doublechecked memos - others still good, just missing the DNC's now!)
Made a backup of the live company's memo code.
Purged DNC memos in the live company.
Done.
